How to Set Up Lists and Reports to Be Emailed

Tired of logging into your Infusionsoft account to check a list each time it is updated? Doing so is a time-consuming, monotonous process, especially when you are dealing with multiple lists. Thankfully, Infusionsoft allows users to set up automatic list/report emails.

So anytime a list or report is updated — no matter how small — Infusionsoft will send an email to the account listed on file. You can then check the updated list or report from within your email account, eliminating the need to log into Infusionsoft.

First and foremost, you’ll need to pull up a saved search or report from within your Infusionsoft account. It can be any saved search or report, assuming it’s open and not closed.

Once you’ve chosen the search or report, click “Open” and choose “Email Saved Search.” This option, as the name suggests, tells Infusionsoft that you wish to have the saved search emailed to you. But you aren’t out of the woods just yet, as there are a few other steps you must perform before the software will automatically send reports to your email address.

Next, you’ll need to enter the details regarding your email account. Next to the “Notify” option, you should see your primary email account listed. If you prefer to have the lists and reports sent to a different address, specify it now. Underneath this option, you’ll see an on/off toggle switch for “Only Send Reports When Found.” Basically, enabling this feature by turning it on tells Infusionsoft to only send a report to your email address when it finds the respective list or report (most users keep this option on).

At the bottom of the options, you’ll see a box with all seven days of the week. This is the frequency for which the reports and lists are emailed. If you only want lists or reports emailed to you on Monday, select Monday. If you only want them emailed on Thursday, select Thursday.

So, what if you want lists or reports emailed to you on multiple days? You can specify multiple days by holding the Ctrl button down and selecting them. While holding the Ctrl button, click on each day of the week that you would like to receive reports and lists via email.

When you are finished, click either the “Save” button to complete the process and exit out, or the “Save and Send Now” to complete the process and send a report to your email address. Sorry if you were expecting more, but that’s all it takes to set up Infusionsoft to automatically email updated list and reports to your address!
